SHIFT Collaborative offers strategy, coaching, training and tools to support learning and leadership development, strategic impact and collaborative innovation for a healthier and more resilient world.

SHIFT is a registered workers’ co-operative and distributed organization of five members, with the majority of the team based out of Victoria, BC. Our team meets in-person periodically throughout the year, but mainly communicate and coordinate work via videoconference, email and phone. Our work is mostly project-based consulting on social and environmental issues.

P/T Contract Position: Administrative Coordinator
Location: Applicants from anywhere in B.C. may apply. The selected candidate will work from their own home and must have reliable computer and Internet access.
Reports to: Managing Director, SHIFT Collaborative
Start Date: October 2021
Position Type: 0.4 FTE (2 days/week) 1-year contract (with intention to extend)
Rate: $25 – $28.65/hr (commensurate with experience)

Job description

This is a 16 hr/week contract, $26 – $28.65/hr (commensurate with experience) to help support the delivery of SHIFT’s mission by developing and maintaining administrative systems for the organization and playing a supporting role to coordinate various aspects of the organization’s functions. The successful candidate will be expected to provide their own workspace and equipment (incl. computer, phone, internet).

To be successful in this role you will be a highly organized individual and strong communicator, capable of prioritizing multiple responsibilities and maintaining accountabilities. You love to create well-functioning systems that support teams, people, and work to thrive and are familiar with various platforms and technologies that help teams to do this remotely. You are a self-starter with keen attention to detail and thrive in a collaborative, but self-directed remote working environment. You are motivated to apply these skills to support our social and environmental-purpose organization to function at its highest potential.


  • Bachelor’s degree, diploma, or training/experience in a related discipline (e.g. business, office administration, book-keeping, planning)
  • 1-2 years of experience in a similar role
  • Knowledge of some/all of the following tools/platforms (or equivalent): MS Office, Dropbox, Zoom, Slack, Book-keeping Software (e.g., Quickbooks), Asana, Mailchimp, Survey Tools, Receipt Bank, Google Suite.
  • Experience in developing and/or maintaining virtual systems to support the organization of files, communications, and other administrative functions
  • Excellent verbal and written communication skills
  • Solid time-management abilities with the ability to prioritize tasks
  • Experience and skills in financial tracking and management
  • Experience participating in or supporting a remote working environment is an asset
  • A demonstrated interest in social and/or environmental purpose initiatives

Additional Assets

SHIFT members manage various projects. If the successful candidate has experience and skills in any of the items below, there may be opportunities to get involved in additional project work, on an as-needed basis (beyond the base commitment of 16 hrs/wk of internal administration for the organization). Additional skills of value include:

  • Transcription & data entry
  • Event coordination
  • Research
  • Communications, social media, and/or graphic design
  • Technical support for online training and workshops


Administrative Tasks (ongoing)

  • Plan and coordinate administrative procedures and systems and devise ways to streamline processes
  • Coordinate team meetings and board meetings (agenda preparation, follow-up, notetaking & filing, update records)
  • Financial & HR admin tasks (e.g. invoicing clients, processing expense claims, tracking & generating financial reports)
  • Maintain organized filing systems, including project archiving
  • Develop and maintaining a manual for SHIFT’s internal administrative and communications protocols
  • Maintaining a Client Relationship Management (CRM) database
  • Maintaining required licensing and legal records
  • Assist in reporting, budget planning, and annual report preparation
  • Other tasks as assigned

Communications Tasks (ongoing)

  • Occasional web updates
  • Develop and maintain Client Relation Management (CRM) system
  • Develop & maintain internal communications practices and systems
  • Other tasks as assigned

Terms of the contract will include

  • The monthly payment for hours worked (~ 16 hrs/week)
  • Core hours scheduled on at least 2 days per week; exact schedule is negotiable
  • One-year contract, with an intention for renewal;
  • 3-month trial period to ensure a mutual good fit.
